About the service
TenureFolio provides property condition reporting software for landlords in Ireland. The service is operated as a sole trader based in Ireland. By using TenureFolio, you agree to these terms.
Your account
You are responsible for keeping your account credentials secure. You must not share your account with others, use it to impersonate another landlord, or use it for any purpose beyond legitimate landlord-tenant record keeping. You must provide accurate information when creating your account.
Subscriptions, billing and cancellation
TenureFolio is offered on paid monthly subscription plans. Each plan sets the number of properties you can manage; current plans and prices are shown on our pricing section. Prices are quoted in euro. An active subscription is required to create properties and generate reports.
Billing cycle: plans are billed monthly in advance. Payments are processed by Stripe; by subscribing you authorise us, through Stripe, to charge your payment method for the recurring fee.
Auto-renewal: your subscription renews automatically at the end of each billing period and your payment method is charged for the next period until you cancel.
Cancellation: you can cancel at any time from the billing settings in your account, which open the Stripe Customer Portal. When you cancel, your plan remains active until the end of the billing period you have already paid for; it does not renew after that. Your existing records remain accessible while your account is open, but you will not be able to create new properties beyond your plan's limit once the plan ends.
Refunds: subscription fees are non-refundable. Cancelling stops future renewals but we do not provide refunds or credit for partial billing periods, and payments already made are not refunded except where required by law.
Failed payments: if a payment fails, we may attempt to charge your payment method again and notify you. If payment is not resolved, your plan may move to a past-due state and access to plan features may be restricted until billing is brought up to date.
Price changes: we may change our plans or prices. We will give registered users reasonable notice of any change to the price of an existing subscription, and the new price will apply from your next billing period.
Acceptable use
You may use TenureFolio to:
- Record and document the condition of properties you own or manage as a landlord.
- Create and share inspection reports with tenants for the purpose of obtaining their signature.
- Store and retrieve your inspection records.
You must not use TenureFolio to:
- Process data about individuals for any purpose other than legitimate landlord-tenant record keeping.
- Attempt to access other users' accounts or data.
- Use the service for any unlawful purpose.
Tenant data and signatures
When you use TenureFolio to collect a tenant's signature, you are responsible for ensuring you have a legitimate basis for doing so (for example, as part of the tenancy check-in process). Tenants sign via a single-use link and are shown clearly what they are signing before they confirm.
You are responsible for how you use, store, or share the resulting signed reports. TenureFolio provides the tooling; you remain the data controller in relation to your tenants' data.
No guarantee of legal outcome
TenureFolio is designed to help landlords document property condition and create structured evidence. It does not guarantee any particular outcome in a deposit dispute, RTB adjudication, or legal proceeding. The reports generated by TenureFolio are tools to support your evidence — they are not a substitute for legal advice.
Data and privacy
Our collection and use of personal data is described in the Privacy Policy. By using the service you agree to that policy.
Service availability
We aim to keep TenureFolio available and reliable, but we do not guarantee uninterrupted access. There may occasionally be planned or unplanned downtime. We will communicate significant outages to registered users where possible.
Limitation of liability
To the extent permitted by law, TenureFolio is provided “as is”. We are not liable for any indirect, incidental, or consequential damages arising from your use of the service or reliance on any reports generated by it.
Governing law
These terms are governed by the laws of Ireland. Any disputes will be subject to the exclusive jurisdiction of the courts of Ireland.
Changes to these terms
We may update these terms as the product develops. Material changes will be communicated to registered users by email and reflected on this page with an updated date.
